This policy explains what Rovix AI Reputex collects, how we use it, and the choices you have. We never sell your data and we only access your Google account for the actions you authorise.
1. Who we are
Rovix AI Reputex ("Rovix AI", "we", "us", or "the Service") helps businesses manage Google review replies by syncing reviews and creating reply drafts that the user can review, edit and approve. It can also prepare a profile description and service list for a connected Business Profile, which is sent to Google only after the user approves it. 2. Information we collect
- Account information: your name, email address, optional phone number and business name.
- Google account & Business Profile data: when you connect Google, we access the connected business locations, reviews, ratings and the profile details needed to provide review-reply features.
- Content you create: AI-generated and edited reply drafts that you save, and any profile description or service list you save for a connected Business Profile.
- Authentication tokens: secure OAuth access/refresh tokens from Google. We never see or store your Google password.
- Usage & technical data: log data such as IP address, browser type, and actions taken in the dashboard, used to operate and secure the Service.
3. Google user data & Limited Use
When you authorise Rovix AI Reputex, we use Google Business Profile data to provide the review-reply features you request. This includes reading connected reviews and business information and, after your approval, posting approved replies and updating the profile description and service list.
Rovix AI Reputex's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. Specifically, we:
- do not use Google user data for advertising;
- do not sell or transfer Google user data to third parties, except as needed to provide the Service, for security, or to comply with law;
- do not allow humans to read your Google data unless you give explicit consent, it is necessary for security or support, or the data is aggregated/anonymised;
- do not use Google user data to train generalised AI/ML models.
You can revoke our access at any time from the Locations page, or via your Google Account permissions.
4. AI processing
To draft a reply, relevant details such as review text, business name and services may be sent to our AI provider solely to create that draft. This content is not used to train public or generalised AI models. AI output is a draft. You review, edit and approve it before it is published to Google.
5. How we use your information
- To provide the core features: sync reviews, create reply drafts and post the replies and profile content you approve;
- To operate, maintain, secure, and improve the Service;
- To communicate with you about your account, support requests, and service updates;
- To process billing for paid plans;
- To comply with legal obligations.
6. How we share information
We do not sell your personal data. We share it only with:
- Service providers who help us run the Service (e.g. cloud hosting, our AI provider, payment processor), under contracts that limit their use of your data;
- Google, when you approve posting a reply or a profile update to your Business Profile;
- Authorities, where required by law or to protect our rights and users.
7. Data storage & security
Your data is stored on servers protected with reasonable technical and organisational safeguards. OAuth tokens are stored securely and used only to perform the actions you authorise. However, no method of transmission or storage is 100% secure.
8. Data retention
We retain account and service data while your account is active and for the limited period needed for legal, tax, security and service obligations. When you delete your account, we delete or anonymise your personal data and revoke Google access, except where we must retain limited records to comply with legal, tax, or security obligations.
9. Your rights & choices
- Access & correction: view and update your account information in the dashboard;
- Disconnect Google: revoke Google access at any time from the Locations page;
- Deletion: request deletion of your account and associated data by emailing support@rovixai.com;
- Depending on your location, you may have additional rights under laws such as GDPR or the DPDP Act. Contact us to exercise them.
10. Cookies
We use essential cookies to keep you signed in and to operate the dashboard securely. We do not use cookies for third-party advertising.
11. Children's privacy
The Service is intended for businesses and is not directed to anyone under 18. We do not knowingly collect data from children.
12. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be reflected by the "Last updated" date above and, where appropriate, notified to you. Continued use of the Service after changes means you accept the updated policy.
